Case Study: Annie E. Casey Foundation
The Challenge
The project centered on telling the stories of four grantees supported by the Annie E. Casey Foundation, each located in a different part of the country. The goal was simple on paper: create a video series that clearly demonstrated real-world impact.
In reality, it was anything but simple.
We were working against a tight deadline tied to the foundation’s annual report release in early Q2, with final delivery required for April 1. That meant coordinating four separate video productions across multiple states, aligning schedules, and managing communication across several internal departments—all while navigating winter travel and a long holiday shutdown that paused momentum at a critical time.
But the logistical challenge was only part of it.
Each story represented a completely different impact area. We weren’t just filming in four locations—we were stepping into four distinct worlds:
- Job training for justice-impacted youth (EMS Corps)
- Reconnecting Indigenous youth to land and culture (Ancestral Lands Conservation Corps)
- Financial education for foster youth (Opportunity Passport)
- Re-engaging youth with education (Re-Engagement Center)
To tell these stories well, we had to quickly understand how each organization operates, who it serves, and what makes it effective. That required focused research, listening, and translation before a single frame was shot.
This wasn’t just a video production challenge. It was a coordination and comprehension challenge.
And the clock was not flexible.
What Was at Stake
These videos were a core part of how the foundation communicates its mission and impact.
Missing the timeline meant losing a key storytelling element of the annual report.
The mandate was clear: deliver high-quality, emotionally resonant films—on time.
Our Approach
We treated this like a logistics-first storytelling problem.
From day one, we prioritized structure and communication. Every stakeholder knew what was happening and when, and every milestone was tracked closely.
The biggest decision came early: we started sooner.
Instead of waiting until January, we kicked off in November—identifying program leads and aligning responsibilities before the holiday slowdown.
When January hit, we were already in motion.
That momentum allowed us to complete most filming by mid-February, leaving time for thoughtful editing and a full review process without rushing.
What Made It Work
1. Starting earlier than expected
Front-loading the work before the holidays created breathing room where most video productions feel pressure.
2. Relentless coordination
With multiple teams and locations, this could have stalled. Instead, tight communication and clear project management kept everything moving.
No wasted time. No dropped handoffs.
The Outcome
We delivered all videos ahead of schedule.
The response from the client and program teams was overwhelmingly positive, including a late-Friday note:
“I LOVE THIS SO MUCH.”
More importantly, the series helped the foundation clearly communicate the impact of its work—supporting youth, families, and communities across the country.

In one month, we filmed across four locations in winter and brought it all together into a cohesive, high-quality series.
